| Minutes/Report: DATE: September 25, 2005 - Report to Executive Council LOCATION: ATTENDEES: GUEST(S): MINUTES STATUS: PROJECT (2004/2005): BOOKMARKS FOR PUBLIC LIBRARIES – Project wrapped up. Additional bookmarks were distributed at the 2005 NY State Fair . Supply of bookmarks are available for other NYSFAAA functions. PRINTED : 52,500 Bookmarks PLACEMENT : Sent letters to 34 libraries throughout the state Have placed 48,000 bookmarks at 201 Libraries in the following areas: Syracuse, 31 sites Rochester, 1 site Albany, 1 site Lackawanna, 1 site Binghamton, 1 site Glen Cove, 1 site Manhattan/Bronx/ Staten Island: 81 sites Southern Tier , 48 sites Auburn, 1 site Utica, 1 site Deer Park, 1 site Broome County, 1 site Clinton-Essex- Franklin, 31 sites PROJECTS 2005: Wristbands : Given out at the NY State Fair. Very favorably received by both children and adults. Supply available for other functions. Brochure: Sent correspondence to the President of the PTA on June 24th. Received call in July from the PTA that they have accepted our proposal to partner with the brochure distribution. They will distribute to all 1550 PTA ‘units’ in the state. Brochures will then be distributed at their functions. Brochure final draft was signed off on 8/31. With the approval of President Miladin the order was increased from 100,000 to 200,000 so that each PTA unit could receive at least 100. 199,000 will be delivered from the printer to the PTA’s Albany Executive headquarters. I have received in my office a shipment of 1,000 brochures for functions as needed. Budget: The wristband project was budgeted under the 2004-05 fiscal year. The brochure project was budgeted for fiscal year 2005-2006. We had originally budgeted $4800 for 100,000 brochures. With the increased order to 200,000, the cost will be approximately $6000. Final bill has not been received yet. The $500 Award from NASFAA has been added into this committee’s budget line. Currently estimating a shortage of approximately $700 . We saved dollars in these areas: the PTA volunteered to include our brochures with their mailings to their 1550 units, and with both the printer and the PTA headquarters in Albany , ‘delivery’ versus ‘shipping’ reduced our costs.
